How-to

Set up online booking

Add resources and services, set working hours and turn on your public booking page and the Google Book button.

This guide takes you from an empty booking section to a working booking page that customers can use. You add what can be booked (resources and services), say when it is available (working hours), and then switch booking on.

Before you start:

  • Online booking must be enabled for your account (the Booking section is in the sidebar). If it isn't, ask your account manager.
  • Your locations should already be set up in LocalUp.

Steps

1. Add resources

A resource is what a booking takes up: a person, a room, a chair, a table.

  1. Open Booking → Resources and click Add resource.
  2. On the Details tab, enter the Name, an optional Public name, choose the Type (Staff, Room, Table, Equipment or Capacity) and the Location.
  3. Set Capacity: 1 means one customer at a time; higher values allow group slots.
  4. Leave Customers can pick this resource on if customers should be able to choose it, and keep Active on.
  5. Click Save. Repeat for every resource.

2. Add services

  1. Open Booking → Services and click Add service.
  2. On Basics, enter the Name, Description and Price. You can link the service to an item of your Google catalogue, or keep it booking-only.
  3. On Timing, set the Duration and optionally Buffer before, Buffer after, Minimum notice, Self-cancel cutoff, the Booking horizon in days and the Slot step.
  4. On Where and who, choose the Locations and Resources that offer the service.
  5. On Booking, decide whether it is Visible on the booking page, whether it Needs staff approval, and attach an Intake form if you use one.
  6. Click Save. The What customers see preview shows the slots these settings produce for tomorrow.

3. Set working hours

  1. Open Booking → Working hours and pick a single resource.
  2. On Weekly template, add intervals for each working day with Add interval. Use Copy day to repeat a day's hours on other days.
  3. Use Date ranges for special periods and Time off for vacations and breaks.
  4. Changes are saved as you make them. If two working rules overlap, a warning asks you to fix them.

The Summary shows the weekly working hours and the slots they give for a service.

4. Turn booking on

  1. Open Booking → Booking settings.
  2. On General, switch on Booking enabled and fill in Public page address. Choose whether Customers can cancel, Customers can reschedule, whether to Require email, and whether Customers can pick a specific person.
  3. On Notifications, set the Reminder timings (hours before) as a comma-separated list (for example 24, 2) and when to Ask for a review after a visit.
  4. On Google, switch on Show the Book button on the Google listing. Listing status shows the state per location.
  5. On Appearance, set the Accent colour, Logo and welcome text, and check the Live preview.
  6. Click Save.

Note: Like other changes to your Google listings, the Book button reaches Google with a delay of a few minutes.

Check that it worked

Open your public booking page and make a test booking. It should appear in Booking → Calendar with the status Awaiting confirmation or Confirmed, depending on the service settings. Cancel the test booking afterwards.

Troubleshooting

  • No free slots are offered. Check that the service has locations and resources, that the resources have working hours, and that the Minimum notice and Booking horizon allow the dates you are testing.
  • "Overlaps another working rule". Two intervals cover the same time for the same resource. Edit or delete one of them.
  • Settings can't be changed ("Read-only mode"). Your role or your plan doesn't allow changes. Ask an account owner or your account manager.
