When several people handle reviews, assign each review to one person so nothing falls through the cracks and nobody answers the same review twice. You can assign reviews one by one, in bulk, or automatically as they arrive.
Before you start:
- The teammates must have active accounts in the cabinet. See Invite a teammate.
- Optional but recommended: set up the workflow statuses your team will use on Reviews → Statuses & assignments. See Statuses & assignments.
Steps
Assign a single review
- Open Reviews in the sidebar.
- On the review card, click Assign and choose a teammate. The button now shows the teammate's name.
- Optionally, set the review's Status, for example
In progress.
Assign many reviews at once
- On the Reviews page, filter the reviews you want to hand over — for example Rating 1–2 and Has reply = No.
- Tick the reviews, or click Select all N in the bar that appears.
- Click Assign in the bar and choose a teammate. To remove the assignee, choose Unassign.
- Optionally, click Change status to set a status for all selected reviews.
Assign new reviews automatically
- Open Reviews → Statuses & assignments and switch to the Assignment rules tab.
- Click New rule.
- Enter a Rule name, for example
Negative reviews to quality manager, and choose the Assignee. - Set the criteria, for example Rating 1★ and 2★ and Has text = With text.
- Optionally, limit the rule to some locations in Locations (leave empty for all locations) — useful when each manager is responsible for their own stores.
- Make sure Rule enabled is ticked and click Create rule.
Result
- Assigned reviews show the teammate on the review card, and the change is recorded in the review's activity log.
- Each teammate can find their reviews with the Assignee filter on the Reviews page.
- With a rule in place, every new review that matches the criteria is assigned automatically. Existing reviews are not reassigned — use bulk assignment for them.
Troubleshooting
- A teammate is missing from the list. Only active users can be assigned. Check that they accepted their invite on Users.
- The rule does not assign reviews. Check that Rule enabled is ticked, that the reviews match every criterion, and that their location is within the rule's locations.
