Statuses and assignments turn the review inbox into a team workflow. Statuses describe where a review is in your process — for example "New", "Awaiting reply" or "Escalated". Assignment rules automatically make a teammate responsible for incoming reviews that match certain criteria. Open Reviews → Statuses & assignments in the sidebar.
The page has two tabs: Statuses and Assignment rules.
Statuses tab
The list shows your statuses with their color and label. Statuses belong to your company account and are shared by all users.
- Add status creates a new status.
- Drag a row by its handle to change the order of the statuses.
- The pencil edits a status; the trash icon deletes it.
- Statuses marked system are built in and cannot be deleted.
Status dialog
| Field | What it means |
|---|---|
| Label | The status name, for example Awaiting reply. Required. |
| Color | Pick a color or enter a custom hex value such as #3b82f6. The color is used in the reviews list. |
Click Create status or Save changes.
When you delete a status, reviews that use it fall back to the default status.
Assignment rules tab
"When a new review matches the criteria, the selected user becomes its assignee automatically."
Each rule is shown as a card with its name, the assignee, chips for the criteria (ratings, sentiments, text and media conditions, tags, topics) and the locations it covers (All locations or a count). Disabled rules have a disabled badge. Use the pencil to edit and the trash icon to delete a rule.
Rule dialog
New rule opens New assignment rule:
| Field | What it means |
|---|---|
| Rule name | Required. |
| Assignee | Required. The teammate who becomes responsible. Only active users are listed. |
| Rule enabled | Untick to switch the rule off without deleting it. |
| Rating | Star ratings to match. |
| Has text / Has media | Any, With text / With media, Without text / Without media. |
| Text length (chars) | Min and Max. |
| Sentiment | Positive, neutral, negative. |
| Tags (any of) / Topics (any of) | The review has at least one of the selected tags or topics. |
| Locations (leave empty for all locations) | Limit the rule to certain locations. |
A review must match all the selected criteria. Click Create rule or Save changes.
Deleting a rule stops it from assigning new reviews; reviews it already assigned keep their assignee.
Working with statuses and assignees on the Reviews page
- Each review card has a Status selector and an Assign button.
- The bulk bar has Change status and Assign for many reviews at once.
- The Status and Assignee filters show, for example, all reviews assigned to you that are still open.
